How to Zoom Out on Microsoft Teams Whiteboard
Zoom out on Microsoft Whiteboard in Teams with a mouse, touchpad, keyboard or touchscreen, and fix the common mix-up with zooming the whole Teams window.
Zooming out on a whiteboard in Microsoft Teams lets you see more of the canvas at once, find content that has drifted off screen, or get an overview before presenting. The method depends on your input device: mouse, touchpad, keyboard or touchscreen. The most common mistake is shrinking the whole Teams window instead of the board, so this guide also covers how to tell the two apart.
Before you start
Whiteboard in Teams is part of Microsoft 365 and runs as an online service. You need a signed-in Teams account, a network connection, and a board that is already open. Depending on your Teams version and your organization's settings, you open a board from the sharing options in a meeting or from a tab in a chat or channel. If Whiteboard is missing entirely, your administrator may have turned it off. In that case no zoom method will help until access is enabled.
Zooming changes how you view the canvas. It does not resize, move or edit anything on the board. Board content is saved by the service, and where it is stored depends on your organization's configuration. Check your organization's policies rather than assuming where it ends up. Also note which modifier key your system uses: Ctrl on Windows and Linux, Command on a Mac.
Step-by-step instructions
With a mouse
- Click an empty area of the canvas so the board has focus rather than the Teams chat or meeting controls.
- Hold Ctrl (Command on a Mac).
- Scroll the mouse wheel toward you to zoom out. Scroll away from you to zoom back in.
- Release the modifier key. Scrolling without it pans the board instead of zooming.
With a laptop touchpad
Place two fingers on the touchpad over the canvas and pinch them together to zoom out. Spread them apart to zoom in. If pinching does nothing, try holding Ctrl or Command while scrolling with two fingers. The result depends on your touchpad driver and gesture settings.
With on-screen zoom controls
Many versions of Whiteboard show zoom controls in a corner of the canvas. These usually include a minus button for zooming out and sometimes an option to fit all board content on screen. The labels and positions differ between versions, so hover over each button to read its tooltip before clicking. If your version shows a fit option, it is the quickest way to see everything on the board at once.
With the keyboard
You can try Ctrl and the minus key (Command and minus on a Mac) with the canvas focused. Be careful here, because Teams and web browsers use the same shortcut to shrink their whole interface. If the menus, chat and buttons all get smaller, you changed the app zoom, not the board. Press Ctrl+0 (Command+0 on a Mac) to restore normal size, then use the mouse, touchpad or on-screen controls instead.
On a phone or tablet
In the Teams mobile app, open the board and pinch two fingers together on the canvas to zoom out. If a pinch draws ink instead, the pen or drawing tool is probably active. Switch to a selection or navigation mode, if your version offers one, and pinch again.
Check the output
After zooming out, you should see more of the canvas, with everything on it shown smaller. The Teams interface around the board, including chat, meeting controls and menus, should stay the same size. If the interface shrank too, you used app zoom instead of canvas zoom. To confirm nothing was changed, zoom back in on an item and check that its size and position are as you left them.
At low zoom levels, small text and thin ink strokes may become hard to read. That is expected, and zooming back in restores normal detail. Zoom is normally a personal view setting, so other participants may still be looking at a different part of the board. If they need to see the same area, tell them where to look rather than assuming your view is shared.
Common problems and next steps
The whole Teams window got smaller: you triggered app zoom in the Teams desktop app or your browser. Press Ctrl+0 or Command+0 to reset it, click the canvas, and zoom with a pinch, Ctrl plus the scroll wheel, or the on-screen controls.
Scrolling moves the board instead of zooming: the modifier key was not held, or focus is outside the canvas. Click an empty spot on the board and try again while holding Ctrl or Command.
Zoom stops and will not go further: Whiteboard has a minimum zoom level. To reach content beyond the visible area, pan by dragging the canvas or scrolling without the modifier key. Use a fit-to-content option if your version has one.
Pinch gestures do nothing on a laptop: check that pinch-to-zoom is enabled in your operating system's touchpad settings. If your touchpad does not support it, use the mouse wheel method or the on-screen buttons.
Content seems to have disappeared: zoom out further or fit the board to the screen. Items placed far from the starting area are often just outside the current view. If the board still looks empty, it may not have finished loading or synced from the service. Reopen it before assuming anything was deleted.
