Webex Contact Center Call Recording Retention

Practical instructions for checking and adjusting Webex Contact Center call recording retention, storage behavior, and common recording issues.

Before you start

Call recording retention in Webex Contact Center is not controlled from a local desktop app. Retention settings and recorded interactions are managed through the Webex Control Hub or the contact center management portal available to your organization. You need an administrator or supervisor account with permission to view recording policies, storage settings, and recorded interaction reports.

Recording availability depends on the services and data storage configured for your contact center. Some organizations use Webex storage, while others may keep recordings in an external recording platform. Check which storage option applies to your tenant before interpreting retention dates.

Step-by-step instructions

Use the following steps as a general workflow. Menu names and locations can vary by Webex Control Hub version, partner-managed setup, or regional data center.

1. Open the contact center administration area

  • Sign in to Webex Control Hub with an administrator account.
  • Open the Contact Center section for your organization.
  • Find the recording or compliance settings area used by your contact center.

2. Review recording policies

Look for a recording policy or recording management page. Check whether recording is enabled for the queues, teams, or entry points you need. The policy may show which calls are recorded, whether recording is selective or always on, and whether agents can pause or stop recording.

3. Check retention and storage settings

If your organization stores recordings in Webex Contact Center, look for retention settings in the recording or data management area. Some tenants may see a fixed retention period selected by the administrator. If retention is not visible, the setting may be handled by an external recording provider or controlled through a separate contract.

4. Find a recorded interaction

Open the recording search or interaction report. Filter by date, agent, queue, customer number, or interaction ID. A recorded call usually appears with an audio player, duration, and recording date. The search result may also show whether a recording is still available or has passed its retention period.

5. Export or preserve a recording if needed

If your role permits it, use the available download or export action before the recording reaches the end of its retention window. Exported files should be stored according to your organization's data protection and privacy rules.

Check the output

After changing a retention-related setting, open the recording search area and confirm that the expected recordings are still listed. If you changed a recording policy, make a short test call matching that policy and then verify that the interaction appears as recorded in the report. Keep in mind that new recordings may take some time to appear after the call ends.

Do not use a missing recording as proof of a precise retention date unless your tenant clearly shows the retention rule. A missing file can also be caused by a policy that did not match, a storage delay, a permission limit, or an external recording system.

Common problems and next steps

If a recording is missing, first confirm that the call matched an enabled recording policy. Calls made before a policy was applied are not recorded retroactively. Also check the selected queue or entry point, because recording is often configured per queue rather than globally.

If you cannot see retention settings, your administrator role may not include those permissions. Contact the person who manages your Webex Contact Center tenant or your external recording provider. When recordings contain customer audio or personal data, do not delete or export them without following the organization's privacy and compliance procedures.

If a recording exists but will not play, check the supported browser, audio output device, and network access. Playback issues are separate from retention and may occur even when the recording is still stored correctly.
