Virtual Background in Webex: How to Turn It On and What to Check If It Won't Work
How to set a virtual or blurred background in Webex before or during a meeting, plus the conditions that can block it and the order to check them.
The short answer
In Webex, the virtual background is a video setting attached to your camera. You can usually choose it in the preview screen before you join a meeting, or during a meeting from the video controls. The typical options are background blur, a built-in image, or an image you upload. Exact menu labels and placement vary between Webex versions and between the desktop app, mobile app and browser, so treat the steps below as a general path rather than an exact click sequence.
Three conditions can change this answer. Your organization's Webex administrator may have disabled virtual backgrounds. Your computer or device may not meet the processing requirements Webex sets for the feature. And the version of Webex you are using, whether the desktop app, mobile app or browser, may offer fewer background options or none at all. If the option is missing or greyed out, one of these is the most likely reason.
Setting a virtual background before you join
- 1. Open the meeting from the Webex app so the preview window appears with your camera image.
- 2. Make sure your video is turned on in the preview. The background options only apply to an active camera feed.
- 3. Look for a background control near the video preview, often labelled along the lines of "Change background" or "Virtual background".
- 4. Choose blur, one of the supplied images, or add your own image from your device.
- 5. Check the preview to confirm the result, then join the meeting.
Changing it during a meeting
Once you are in a meeting, the background setting is normally reached through the video controls. Look for the small menu or arrow next to the start or stop video button and select the background option from there. The same choices appear as in the preview: blur, built-in images or your own image. Changes take effect on your outgoing video, so other participants see the new background once you apply it.
What the virtual background does and does not affect
A virtual background only changes your video. Webex analyses the camera image, separates you from what is behind you and replaces or blurs the rest. It has no effect on your microphone or audio. If people can hear background noise, that is a separate audio setting, not part of the virtual background feature.
Because the feature depends on software separating you from your surroundings, results can be uneven. Edges around hair, hands or headphones may flicker, and a dim or cluttered room can make the separation less accurate. Even, front-facing light and a plain wall behind you generally help, though there is no guarantee of a clean result on every setup.
If the option is missing or not working: the order of checks
It helps to work from the camera outward, separating three things: whether the camera is detected, whether Webex has permission to use it, and whether it is the camera Webex is actually using. A virtual background cannot appear until all three are in place.
- 1. Confirm the camera is detected. Check that your operating system recognises the webcam and that no other application is holding it open.
- 2. Confirm permission. On macOS, Windows and mobile devices, the operating system controls camera access per application; Webex must be allowed to use the camera. In a browser, the site must also be granted camera permission.
- 3. Confirm the active camera. In Webex's video or device settings, make sure the camera you expect is selected, especially if you have a built-in webcam and an external one, or a virtual camera from another program.
- 4. Turn your video on. The background control may be hidden or inactive while video is off.
- 5. Update Webex. Older versions may lack the feature or certain options, such as uploading custom images.
- 6. Check whether you are in the browser version. Background features in the browser can be more limited than in the desktop app; if possible, try the desktop app.
- 7. Consider device capability. Webex restricts virtual backgrounds on hardware it considers insufficient. If everything above is correct and the option is still unavailable, this may be the cause.
- 8. Ask your administrator. In managed or work accounts, the feature can be switched off by policy, and only an administrator can change that.
Using a virtual camera instead
Some people apply backgrounds or graphic overlays through separate virtual camera software and then select that virtual camera as their video source in Webex. In that case, the background is produced by the other program, not by Webex, and Webex's own background setting is usually best left off to avoid processing the image twice. Whether a particular virtual camera works with your Webex version and operating system depends on both programs, so check that the virtual camera appears in Webex's camera list before relying on it.
What this guide cannot confirm
No specific system requirements, supported image formats or size limits, or version numbers were available for this guide, so none are stated here. If you need those details, for example to know whether your processor qualifies or which image types you can upload, check Webex's own help documentation for your platform or ask your organization's IT team.
