How to Share Files in Zoom Meetings
Learn how to share files in Zoom meetings from a computer or mobile device, check the results, and fix common file sharing problems.
Before you start
File sharing in a Zoom meeting happens inside the Zoom app or Zoom web client. You do not need a separate file hosting service for the basic in-meeting transfer. Check that you are signed in to the Zoom account you intend to use and that you have the file stored locally on the device. If the meeting is hosted on a work or school account, the account owner or administrator may restrict file transfer for participants.
Make sure the Zoom application is updated to a supported version. File sharing options and their location can differ between the desktop app, mobile app, and web client. For a reliable transfer, use a computer with a stable connection to the meeting and avoid renaming or moving the file while the upload is in progress.
Step-by-step instructions
On a computer
During the meeting, open the meeting controls toolbar and select Chat. In the chat panel, select the File option. Depending on the Zoom version, the control may also appear as a paperclip icon or as a button labelled Share File.
Choose whether to send the file to one participant or to everyone in the meeting. If you send to one person, select their name first. Then browse to the file on your computer and confirm the upload. Zoom transfers the file through the meeting and shows it as a message in the chat panel.
Do not close the meeting or leave the call while a large file is still uploading. Wait for the chat entry to show the file name and size, which indicates that the transfer is complete.
On a mobile device
Open the meeting controls and select Chat or Participants, then open a direct chat with the recipient. Use the attachment option in the chat entry area. On many mobile versions you can choose a local file, a photo, or a document from the available file picker.
Select the file and wait for it to appear as a completed message. Because the mobile file picker may display different categories depending on the operating system, use the same format and location that you would normally use to attach a file in another app.
If in-meeting file sharing is not available
Some Zoom versions or account settings may not show the file share option. In that case, use a file sharing tool that the meeting organizer has approved, then paste the shared link into the meeting chat. Check the organizer's instructions before using an external service, especially when the file contains private or sensitive information.
Check the output
After sending, look at the meeting chat on your own screen. You should see the file name, size, and recipient or channel. Ask the recipient to confirm that the file opens correctly, especially if the meeting includes participants using different devices or operating systems.
Keep in mind that Zoom may limit file size or supported formats. If the file is too large, appears blocked by a policy, or cannot be opened by the recipient, try compressing the file, sending a smaller version, or using a format accepted by the recipient's software.
Common problems and next steps
If the File option is missing, confirm that you are using an updated Zoom client and that the meeting chat is open. Account or meeting restrictions may remove file sharing; contact the meeting host or your Zoom administrator to check whether the option is disabled.
If an upload stalls, check the meeting connection and avoid switching networks during the transfer. Cancel the incomplete upload, then try a smaller file or a compressed archive. If a recipient cannot download the file, confirm that their Zoom client is updated and that their device allows file access from chats.
For repeated failures, share the file outside the meeting using an approved storage service and send only the access link in chat. This can be the quickest workaround when the meeting host has disabled in-meeting file transfer or when the file exceeds the meeting chat limit.
