How to Add or Paste Images into Zoom Whiteboard

Add an image to Zoom Whiteboard by uploading, pasting from the clipboard or dragging a file in, then check its quality and fix common paste problems.

Zoom Whiteboard lets you place pictures, screenshots and diagrams on the canvas next to your notes and drawings. This guide covers the usual ways to add an image, how to check the result and what to try when pasting does not work. Zoom changes its interface between releases, so button labels and icons may look different from the descriptions here.

Before you start

Zoom has offered two whiteboard experiences: the current Zoom Whiteboard and the older classic whiteboard used inside meetings. The classic version provides only basic drawing and annotation tools. If your whiteboard shows only pens, shapes and text, you are probably using the classic whiteboard or an outdated client.

  • Update the Zoom desktop or mobile app to a current version.
  • Make sure you have edit access to the board. Participants with view-only access cannot add content.
  • If you use a work or school account, check whether an administrator has disabled Whiteboard or some of its features.
  • Use a common image format such as PNG or JPEG. Formats from other apps or phones may not be accepted.

Zoom Whiteboard is a cloud-based tool. An image you add is not only shown on your own computer. It becomes part of the board, which is stored with your Zoom account, and anyone with access to the board can see it. Before you add screenshots or documents that contain personal or confidential information, check your organization's data handling rules and the board's sharing settings.

Step-by-step instructions

Upload an image from the toolbar

  • 1. Open the board you want to edit. You can use the Whiteboards area of the Zoom app or the Whiteboards control during a meeting.
  • 2. In the whiteboard toolbar, find the option for uploading or inserting files. Its exact name and icon depend on your app version.
  • 3. Select the image on your device and confirm.
  • 4. When the image appears on the canvas, drag it into position.
  • 5. To resize it, drag a corner handle. Using a corner rather than a side helps keep the original aspect ratio.

Copy and paste an image

Pasting from the clipboard is the quickest method when your version supports it. It works best on the desktop app.

  • 1. Copy the image itself. In a browser, right-click the picture and choose the option to copy the image, not its address. For screenshots, use a capture tool that copies to the clipboard.
  • 2. Switch to Zoom Whiteboard and click an empty area of the canvas.
  • 3. Press Ctrl+V on Windows or Command+V on a Mac.
  • 4. Move and resize the pasted image as needed.

Drag and drop a file

On a computer, you can also try dragging an image file from File Explorer or Finder onto the open board. If the file does not appear, use the upload option instead.

Mobile and tablet apps

The phone and tablet apps lay out their tools differently, and some options may be missing. Look in the whiteboard tools for an insert or add option. If you cannot find one, add the image from a computer. It will then appear on the board on every device.

Adding an image can be undone. Use Ctrl+Z on Windows or Command+Z on a Mac right after the change, or select the image and delete it.

Check the output

  • Zoom in on the image. If it looks blurry, the original file probably has low pixel dimensions for the size you set on the board.
  • If you see blocky patches or smeared edges, the file may be heavily compressed. A less compressed original, or a PNG for text and diagrams, usually looks cleaner.
  • Check the background. A PNG with transparency lets the board show through, while a JPEG always has a solid background.
  • Compare the shape with the original. A stretched or squashed image means the aspect ratio changed during resizing.
  • Ask another participant whether they can see the image, or reopen the board on a second device. This confirms the image was saved to the shared board.
  • If you export or share the board, open the exported version and confirm the image is included.

Common problems and next steps

Nothing happens when you paste

Copying a file in File Explorer or Finder often copies a reference to the file rather than the picture itself, so the board has nothing to paste. Open the image and copy it from there, or use upload or drag and drop. Also click inside the canvas before pasting so the whiteboard has focus. If pasting still fails, your version may not support clipboard images, and uploading is the reliable alternative.

There is no upload or insert option

This usually has one of four causes. You may be using the classic whiteboard, running an outdated app or have view-only access. Otherwise, an administrator may have restricted the feature. Update the app, ask the board owner for edit access, or contact your Zoom administrator.

The file is rejected

Convert the image to PNG or JPEG with an image editor or your system's built-in viewer, then try again. Very large files can also be a problem, so try exporting a smaller copy of the image.

The image looks distorted or too small

Delete the image and add it again, and resize it only from the corners. If it is still too small to read, use a higher-resolution source file instead of enlarging a small image on the board.
