How to Use Sticky Notes on Microsoft Teams Whiteboard

Add, edit, color and organize sticky notes on Microsoft Whiteboard in Teams meetings and chats, then check the result and fix common sticky note problems.

Sticky notes are one of the quickest ways to collect ideas on a shared whiteboard in Microsoft Teams. This guide covers adding notes during a meeting or in a chat, editing and organizing them, confirming that everyone sees the same board, and fixing the issues people run into most often.

Before you start

Microsoft Whiteboard in Teams is a cloud service, not a local drawing tool. The board syncs through your organization's Microsoft 365 environment, so you need a working internet connection and a signed-in work or school account. Personal or free editions of Teams may not offer the same whiteboard features, so confirm what your edition supports.

  • Your Microsoft 365 administrator has not disabled Whiteboard for your organization or for your account.
  • You are using a current version of the Teams desktop app, web app or mobile app. Older clients can show a different toolbar or none of the newer note features.
  • You know where the board will be stored. Whiteboards created in Teams are generally saved to the OneDrive of the person who created them or of the meeting organizer. Confirm this with your administrator if storage location, retention or sharing matters for your content.
  • External, guest or anonymous participants may have limited or view-only access, depending on your organization's policies.

Treat anything written on a sticky note as shared content. Everyone with access to the board can read it, and it can stay available after the meeting ends.

Step-by-step instructions

Open a whiteboard

• In a meeting: select Share in the meeting controls, then choose Microsoft Whiteboard from the sharing options. Participants with edit rights can add notes right away.
  • In a chat or channel: add Whiteboard as a tab with the plus button at the top of the conversation, then create a new board or pick an existing one.
  • Outside Teams: you can open the same boards in the Whiteboard app or in a browser with the same account. This is useful for preparing notes before a meeting.

Button names and positions vary between the classic and new Teams clients and between desktop, web and mobile. If a label here doesn't match your screen, look for the closest equivalent in the Share or plus menus.

Add and edit a sticky note

  • Open the Create panel on the whiteboard toolbar, usually shown as a plus icon.
  • Choose Sticky note. A note appears on the canvas, or you click where you want it.
  • Start typing to add text. The text resizes to fit the note.
  • Click outside the note to finish editing. To edit again, select the note and type, or double-click it.
  • To move a note, drag it. To resize it, drag a corner handle.

Change color and organize notes

  • Select a note to open its contextual menu, then pick a color. Using one color per topic or per team makes grouping easier.
  • Use the note grid option, if your version offers it, to place several notes in an aligned block instead of positioning each one by hand.
  • Select several notes at once to move, recolor or delete them together.
  • Use reactions or other inking tools to vote on or mark notes, if your board allows it.
  • Templates from the Create panel, such as brainstorming or retrospective layouts, already contain areas set up for sticky notes.

Most changes can be reversed. Use undo on the toolbar, or press Ctrl+Z on Windows or Cmd+Z on Mac, to restore a deleted or moved note. Undo usually covers only your own recent actions, so agree on cleanup rules before several people start rearranging the board.

Check the output

  • Ask another participant to confirm they can see your new notes. Whiteboard syncs live, but a slow connection can delay updates.
  • Zoom out to check the overall layout, then zoom in to make sure short text is still readable. Long text shrinks to fit, so split long ideas across several notes.
  • After the meeting, reopen the board from the meeting chat, the Whiteboard tab or the Whiteboard app to confirm the notes were saved.
  • If you need a copy outside Teams, use the export option in the board's settings menu, if your version has one. An exported image is a static snapshot: the notes can't be edited and anything off the exported area may be missing.

Common problems and next steps

The sticky note option is missing

Update Teams and reopen the board. If the toolbar still has no Create panel or note option, you may be on an older Whiteboard experience or a client with fewer features. Try the Teams desktop app, Teams in a browser, or the Whiteboard app with the same account.

You can see the board but cannot add notes

Your access is probably view-only. This happens often with external or guest participants and with meetings where the organizer limits editing. Ask the organizer or board owner to check sharing settings, or ask your administrator whether policy restricts whiteboard editing.

Microsoft Whiteboard does not appear in the Share menu

Whiteboard may be turned off for your organization, or your meeting type or device may not support it. Ask your administrator to confirm whether it is enabled. As a workaround, open the board in the Whiteboard app and share that window instead, so others can follow along.

Notes disappeared or changed after the meeting

Check whether you opened the same board. Whiteboards from a meeting are usually reachable from that meeting's chat. If someone moved or deleted notes, open the board's settings to look for version history or a restore option. Because the file usually lives in the creator's or organizer's OneDrive, that person may need to grant access or recover it.

Notes are hard to read on a shared screen

Keep each note to a short phrase, choose note colors with strong contrast against the text, and enlarge important notes. Ask participants to zoom on their own view, since screen size and window scaling change how much of the board fits.
