How to Access Microsoft Teams Whiteboard on a Mac
Open Microsoft Whiteboard on a Mac through Teams meetings, chat or channel tabs, or a browser, then check that your board is shared and saved.
Whiteboard works on a Mac, but not as a separate desktop program. You reach it through the Teams app for macOS or through a web browser. This guide covers both routes, how to confirm the board is working, and what to try when Whiteboard doesn't appear.
Before you start
- Whiteboard is a cloud service. The canvas is synced through Microsoft 365, not stored only on your Mac, so you need a working internet connection throughout.
- Sign in with a Microsoft 365 work or school account. Your organization's admin must have Whiteboard enabled. Availability for personal or free Teams accounts can differ, so check your account type if the option is missing.
- Install the current Teams desktop app for Mac, or use a supported browser such as Safari, Chrome or Edge.
- Microsoft does not offer a native macOS Whiteboard app the way it does for Windows and iPad. On a Mac you use Whiteboard inside Teams or in a browser. To confirm current availability, search the Mac App Store.
- Boards are saved to your organization's cloud storage, usually the creator's OneDrive. Sharing, retention and access follow your organization's policies. Confirm those policies before adding sensitive content.
Step-by-step instructions
Open a whiteboard during a Teams meeting
- 1. Join or start the meeting in Teams for Mac.
- 2. Select Share in the meeting controls.
- 3. In the sharing options, choose Microsoft Whiteboard.
- 4. Start a new board, or pick an existing one if Teams offers that choice.
- 5. Draw with your mouse or trackpad, and add sticky notes, text or shapes from the toolbar.
- 6. When you're done, select Stop sharing. The board is not deleted and stays available after the meeting.
Button names and their positions differ between Teams versions. The current Teams app has replaced the classic client, and some menus moved in that change. If a label doesn't match, look for the share option in the meeting toolbar instead of following an exact path. Check the board's settings for options that let attendees edit. Which options appear depends on your organization's policy.
Add a whiteboard to a chat or channel
- 1. Open the chat or channel in Teams.
- 2. Select the plus button that adds a tab.
- 3. Search for Whiteboard and select it.
- 4. Create a new board or choose an existing one, give the tab a name and save.
- 5. Members of that chat or channel can open the tab whenever they need it, not only during a meeting.
Use Whiteboard in a browser
Open the web version of Microsoft Whiteboard in your browser and sign in with the same account you use for Teams. Boards created in Teams meetings should appear in your list. The browser route is useful if the Teams app won't load the canvas, or if you want a larger window for drawing.
Check the output
- During a meeting, ask a participant to add a note or a line. If it shows up on your screen, the board is shared and syncing.
- After the meeting, open the board again from the meeting chat or from Whiteboard in the browser. This confirms your content was saved.
- If you need a copy outside Whiteboard, look for an export option in the board's menu. How detailed the exported image is depends on the board's content and the format offered.
- Drawing with a trackpad is less precise than with a pen. For handwriting or detailed sketches, consider a mouse or an external drawing tablet.
Common problems and next steps
Is there a Whiteboard app for Mac? Not a dedicated macOS app. Searches for a Mac app usually lead to the iPad or Windows versions. On a Mac, use the Teams integration or the browser version described above.
Whiteboard is missing from the Share menu. Update Teams and sign out and back in. Then confirm you are using a work or school account. If the option still doesn't appear, your admin may have disabled Whiteboard, or your role in the meeting may limit it, for example if you joined as a guest or external participant. Open the board in a browser to work around it while your admin checks the settings.
The canvas stays blank or keeps loading. Check your network connection and any VPN or firewall that might block Microsoft 365 services. Then quit and reopen Teams. If the canvas still won't load, open the same board in a browser to tell whether the problem is in the Teams app or in your account or network.
Others can see the board but cannot edit it. Editing rights for attendees, and especially for guests, depend on the meeting settings and your organization's policy. The organizer or an admin can adjust them.
You want to share the board as a window instead. Sharing a screen or window from Teams requires the macOS Screen Recording permission. On newer macOS versions this is called Screen & System Audio Recording, under System Settings > Privacy & Security. After you grant it, quit and reopen Teams.
You meant a physical whiteboard on camera. That is a different setup. Make sure Teams has camera permission under System Settings > Privacy & Security > Camera. Confirm the selected camera in Teams device settings, and point it straight at the board. Use even lighting to reduce glare. Higher resolution makes handwriting easier to read, while frame rate matters less for a mostly static board.
