How to Integrate Microsoft Whiteboard with Teams

Use Microsoft Whiteboard inside Teams meetings, chats and channels: prerequisites, setup steps, saving and sharing boards, and fixes for common problems.

Many people search for a Microsoft Teams whiteboard plugin, but Whiteboard is not a separate add-on you download. It is a Microsoft app built into Teams. Your organization can allow or block it, and you can use it in meetings, chats and channels. This guide covers how to open it in each place, how to check that your board saved correctly, and what to do when it does not appear.

Before you start

Whiteboard is a cloud service, not a local tool. Boards are created and synced through Microsoft 365, so you need a working internet connection. Whatever you draw is stored on the service, not only on your device. Check these points first:

  • A work or school Microsoft 365 account signed in to Teams. Whiteboard features for personal Teams accounts may differ or be unavailable.
  • Whiteboard allowed by your organization. Administrators can turn the service off or block the app in Teams policies. If the option is missing, ask your IT admin before troubleshooting your device.
  • An up-to-date Teams client on desktop, web or mobile. Older versions may show different labels or lack some options.
  • A clear understanding of where boards are stored. In many organizations, boards are saved to the creator's or meeting organizer's OneDrive. Confirm your organization's storage, retention and sharing rules before putting sensitive information on a board.
  • For guests and external participants, expect limited access. Whether they can view or edit depends on your organization's sharing settings.

Whiteboard itself does not need camera permission. A camera only matters if you want to show a physical whiteboard or flip chart, which is covered below.

Step-by-step instructions

Share a whiteboard during a Teams meeting

  • 1. Join the meeting from the Teams desktop or web app.
  • 2. Select Share (sometimes shown as Share content) in the meeting controls.
• 3. Choose Microsoft Whiteboard from the sharing options.
  • 4. Wait for the board to load for everyone. Participants in your organization can usually draw and add notes right away.
  • 5. If you are the presenter, review the board's settings to decide whether others can edit or only view.
  • 6. To stop, select Stop sharing. The board is kept and can be opened again later.

Whiteboard is available in the Share options only in meetings that support it. In some meeting types or for some participant roles, it may be missing or view-only.

Add a whiteboard as a tab in a chat or channel

  • 1. Open the chat or the channel where the team will work on the board.
  • 2. Select the plus (+) button at the top to add a tab.
  • 3. Search for Whiteboard and select it.
  • 4. Create a new board or attach an existing one, give the tab a clear name and save.
  • 5. Members of that chat or channel can now open the board from the tab without starting a meeting.

A tab is useful for ongoing work, such as planning boards or retrospectives. To undo it, remove or rename the tab from its menu. Removing a tab may not delete the board itself, so check where the board is stored if you want it fully removed.

Show a physical whiteboard with your camera

If your team uses a real whiteboard, Teams can share it through a camera. Look for a content-from-camera option in the meeting's Share options. Its availability depends on your Teams version and device.

  • 1. Make sure Teams has camera permission in your operating system and browser.
  • 2. In Teams device settings, choose the correct camera, especially if you have a laptop camera and an external webcam.
  • 3. Point the camera straight at the board and fill as much of the frame as you can.
  • 4. Use even lighting and avoid glare from windows or overhead lights. Reflections can make writing unreadable.
  • 5. Start the share and ask a participant to confirm they can read the text.

Check the output

After a meeting or tab session, confirm that the board saved and that the right people can reach it:

  • Open the meeting chat or the tab again and check that the latest changes are there.
  • Open the Whiteboard app or your Whiteboard list with the same account and look for the board.
  • Ask a colleague to open it, to check access. Do not assume guests have the same access as internal users.
  • If you need a fixed copy, use the board's export options, such as an image. Labels and formats may differ between versions, so check what your version offers.

For a physical board shown through a camera, image quality depends on the camera's resolution, the lighting and the network connection. Teams may adjust the video stream's resolution and frame rate automatically. If small handwriting is hard to read, write larger or take a separate photo of the board and share it as a file.

Common problems and next steps

Whiteboard is missing in Teams

If Whiteboard does not appear under Share or in the tab list, it has most likely been turned off or blocked by your organization. Updating Teams and signing out and back in can help with display issues. If it is still missing, contact your admin, because they control the Whiteboard integration for the whole organization.

Participants can see the board but cannot draw

Check the board's sharing or editing settings and the participant's meeting role. External users and guests often get view-only access unless your organization allows editing.

The board does not load or sync

Because Whiteboard runs as an online service, sync problems usually come from network restrictions, browser settings or service availability. Try opening it in Teams on the web or in the separate Whiteboard app. If that works, the issue is likely your desktop client or its cache.

The camera feed of a physical board is unclear

Confirm that the selected camera in Teams is the one pointed at the board. Then improve the lighting and move the camera closer. If you get an error instead of a picture, check camera permission in your system privacy settings and close other apps that might be using the camera.
